  • Overview

    This position is primarily responsible for receiving guests promptly and courteously, either on the telephone or in person. Acts as a gatekeeper to help minimize solicitors and/or unauthorized visitors. Processes U.S. mail and courier parcels, and performs miscellaneous clerical and administrative tasks as assigned.  

    Primary Duties & Responsibilities

    • Answers, screens and directs telephone calls and greets visitors in prompt and courteous manner.
    • Retrieves, sorts and distributes incoming mail, faxes and parcels; meters and transports outgoing mail; and prepares and tracks costs of parcels being shipped.
    • Monitors visitor access and maintains security awareness.
    • Assists in maintenance and performance monitoring of national shipping program.
    • Creates accounts and monitors access cards in the Keyscan system.
    • Creates accounts and maintains UPS accounts.
    • Creates locations and maintains addresses in Office Depot system.
    • Creates and maintains mailboxes.
    • Organizes conference and meeting room bookings.
    • Assists departments with catering requests.
    • Performs a variety of clerical and administrative tasks, including making photocopies, ordering office supplies for departments, filing, compiling informational packets, typing assignments, retrieving daily calendar information and assisting in conference room and kitchen cleaning and maintenance.
    • May process updates to the company’s active directory.
    • Maintains petty cash according to accounting standards.

    Skills & Abilities

    • Ability to professionally answer and direct calls on multi-line telephone console.
    • Ability to deal equitably and pleasantly with telephone callers, visitors and other employees.
    • Understanding of organization and location of employees throughout the company.
    • Ability to read and interpret information in order to perform duties.
    • Proficient in Microsoft Office products especially Excel, Powerpoint and Word.
